Content, functionality, and integrations

Observed 2026-09-07 on VIP Smiles Dental. Refer to page-inventory.json for exact URLs and fetch coverage; evidence/pages.json holds the parsed public evidence. Facts below describe published content, not independently verified practice operations.

Public content and navigation

Area Observed content / behavior Migration and editing implication
Global navigation Dental Services with nested categories and treatments; Patient Portal with Financing; VIP Savings Plan; Smile Gallery; Our Practice with dentists/team/tour/blog; Reviews; Contact; Giveaway with Sponsorship Preserve hierarchy and link destinations initially; make mobile disclosure controls accessible
Homepage Rotating hero, promotional overlay, service cards, practice introduction/video, appointment CTA, reviews/gallery sections, plan highlights, provider cards, news and location/footer blocks Model repeatable sections and shared settings; get owner approval for redesign and overlay behavior
Services Cosmetic, restorative, family/preventative, orthodontic, emergency and technology pages Dedicated service records plus reviewed clinical content and related links
Practice Separate practice, dentists, team and tour destinations; tour contains a Google Maps panoramic embed Verify active team and credentials; staff should manage approved biographies/media and preserve or replace the tour deliberately
Patient resources Portal page lists financial options and special offers; some resource labels appear as plain text. A deeper /patient-portal/patient-forms/ page links Patient Intake Forms to securehealthform.net Preserve/discoverability-review this intake link; confirm vendor ownership and intended workflow before replacing it
Savings plan Public page lists annual plan, additional adult/child prices, preventive benefits and service discount; Sign Up links to the appointment-request page No observed checkout/enrollment transaction; pricing/terms need confirmation and a controlled edit workflow
Financing Payment methods and named insurance providers; CareCredit appears in the text A named financing product is not proof of an active API or application integration; verify current arrangements
Giveaway Winner photos and a quarterly-giveaway poster describe entries for a Facebook like, Google review, or referral; Facebook Entry and Google Entry links appear below Practice should review current campaign, approved rules/platform requirements and accessible text equivalents; no entry was made
Sponsorship Community sponsor list and images No dedicated sponsorship application form observed in inspected HTML; shared footer form is still present
Blog Article archive, pagination links including page 37, and individual posts linked from homepage and sitemaps Preserve slugs, authors, dates, image rights, internal links and archive navigation; full archive editorial review remains
Policies Privacy, accessibility, anti-discrimination, HIPAA privacy, healthcare disclaimer and terms links Ask designated practice reviewer for authoritative current versions; presence does not establish compliance

Appointment and contact journeys

  1. Phone: header/footer links use tel:3853166386. Phone calling was not initiated. Verify this is the desired permanent number versus a tracking number.
  2. Dedicated request: hero/appointment CTA → /request-appointment/. The form asks for name and phone (required), email, new/existing patient status (required), preferred time ranges (before 10, 10–noon, noon–3, after 3), optional message, and two required consent checkboxes. There is no observed date-specific availability or confirmed slot on this form. Treat it as a request until staff confirm the actual fulfillment process.
  3. Contact destination: several “Appointments” or scheduling links → /vip-smiles-family-dentistry-in-syracuse/. This page contains a similar request form, practice copy, hours and map. Do not assume it is a submission confirmation page merely because the heading thanks visitors for contacting the practice.
  4. Shared footer: name, optional email, required phone/message and two required consents. This repeats across fetched templates and could collect patient details in free text.
  5. Savings plan: Sign Up → the same dedicated appointment request page; no observed membership payment/checkout.
  6. Chat: auto-opened CloudGain widget shows a greeting, a message box and an appointment quick-message option. No message or quick reply was sent. The label “Live Agent Available” does not verify actual staffing, response time or whether a human/automation responds.

No forms were filled or submitted. Success/error states, delivery recipients, storage, notifications, spam handling, calendar sync, appointment confirmation and staff response are unknown. Public markup shows forms posting to their page URLs with Gravity Forms identifiers; this does not reveal the complete server-side route or data flow. Hidden values are omitted from the form inventory.

Forms and patient-data requirements to clarify

Both transactional and promotional SMS consent are displayed as required on the inspected appointment/footer forms. Have the practice's designated reviewer decide the intended consent behavior and exact approved wording. Reproducing the current page verbatim is not a substitute for this decision.

Free-text forms and chat can receive health or appointment details even if labeled generally. Before choosing a replacement form service, establish allowed fields, intended recipients, access roles, storage/retention, email/SMS notification contents, spam controls, data export/deletion, vendor ownership and any required agreements. Confirm what tracking may run on those pages. Do not assume that the marketing CMS should store inquiries or that all staff editors should access them. No legal compliance conclusion is drawn from public inspection.

Observed integrations and public implementation clues

Integration / clue Evidence Verified boundary / follow-up
WordPress with Genesis / High Octane child theme Public generator, body classes and theme/script paths Identifies served technology; does not provide source, admin configuration or maintenance status
Gravity Forms gravityforms asset paths and form IDs Markup/fields observed; notification/storage/payment add-ons unknown
Google reCAPTCHA Public script plus loaded invisible reCAPTCHA iframe No challenge solved; server-side enforcement unverified
CloudGain chat chat.gocloudgain.com script and rendered chat iframe Widget visible, no message sent; vendor contract, account owner, data use and escalation workflow unknown
External patient intake Patient Forms page links to securehealthform.net/caretapemr/webform_login.php with a public form-link parameter Destination recorded but not opened or logged into. Actual product/account ownership, fields, storage, authentication and practice-management connection are unverified
Google analytics tags Homepage loads gtag references for G-J1WJLQM592 and G-KBPH3GLCNJ Multiple IDs do not prove duplicate counting; request account ownership and event configuration
Google Maps Embedded location maps and external directions links Visual/link evidence; some browser map subframes yielded limited/loading output, so full map interaction remains untested
Reviews Google review/search links; Trustindex loader and WordPress review/testimonial slider assets; review cards rendered on the desktop homepage Verify account, permitted reuse and current source; no review was posted
YouTube Practice video embeds and a footer channel link At least three differing channel identifiers appear across homepage embed, footer and schema; reconcile official account(s), captions and video rights
Social/review outbound links Facebook, YouTube and Yelp footer links; giveaway Google review shortlink Did not sign in, post a review, react, enter a giveaway or submit any external flow
Rank Math SEO Sitemap attribution and structured metadata Preserve equivalent SEO output; plugin license/configuration not available
Carousel/popup libraries WP Carousel Pro / Swiper, Soliloquy, popup-box and slider paths Effects seen on homepage; no reason yet to carry every library into the new site
PDM agency credit Footer points to Performance Driven Marketing Potential ownership/export contact if the practice authorizes outreach; no contact made

integration-inventory.json provides exact HTML/DOM-referenced third-party URLs and referring pages. Dynamically inserted chat/reCAPTCHA URLs also appear in evidence/home-dom-observations.json; the deeper intake destination is recorded in evidence/patient-forms-dom.json. Neither inventory is a full network or backend integration audit. CareCredit is observed payment copy, not an exercised integration. No separate live-booking vendor was established from the inspected appointment request form; the external patient-intake link is a distinct flow.

Assets

asset-inventory.json lists referenced images and linked files, dimensions/alt values when present, and source pages. Homepage DOM evidence supplements lazy-loaded references. The inventory is not a complete download or rights-cleared media library: CSS backgrounds, srcset alternatives, third-party media, unloaded gallery items and uninspected article images may not all be represented.

Asset classes include white/light-blue logos, dental treatment hero imagery, service illustrations/photos, provider and team portraits, office-tour images, gallery before/after cases, professional/product logos, insurance/payment graphics, promotions/sponsorship images, and article illustrations. Keep originals and rights records separate from derived web renditions. Public filenames are not reliable descriptions or clinical pairing identifiers.

Content issues for owner review

  • Contact copy names Doctors Shad, Richard and Clive Ingram while homepage provider cards feature Shad and Richard. Confirm the current roster; this is not proof that either page is wrong.
  • Homepage plan highlights mention average savings while the plan page specifies a discount on other services and an annual fee. Confirm the calculation, current pricing and how the two statements should be explained.
  • The dedicated request page and contact page provide similar journeys with different URLs; decide whether both serve a distinct purpose before consolidating.
  • Resource headings on Patient Portal do not all expose links in fetched HTML. Confirm whether intended resources are missing, inactive or simply informational labels.
  • Orthodontics copy names ClearCorrect while navigation promotes SureSmile; confirm whether both products are offered and how to describe them.
  • Several social identities differ between visible links and schema. Confirm authoritative destinations before carrying metadata forward.
  • Clinical copy, insurer lists, offers and community sponsorship information need practice review; public availability does not establish current accuracy.
